Executive Assistant/ Office Manager

Key responsibilities:
This critical role keeps the wheels turning. Integrity and discretion are essential, as you’ll be trusted with sensitive information and expected to handle it with care.
Executive support: EA to the CEO, with a focus on diary management, travel, meeting support and ad hoc projects such as event management. Manage leadership team meetings, diaries, board meetings and minutes, expenses, travel, and ELT queries with pace and professionalism.
Board Administration: Organise Board meetings with a global Board navigating different time zones, collating Board agendas and meeting minutes.
Office management: Welcome visitors, manage office supplies, consumables and contractors, support onboarding and inductions (in partnership with People & Culture), assist with internal communications, and help ensure the Auckland team has what they need to be at their best.
What we’re looking for:
Proven experience as an EA or PA supporting senior executives, ideally 3+ years.
Exceptional communication skills with the ability to adapt communication style.
Strong organisation skills and the ability to juggle competing priorities in a fast-paced, reactive environment.
An energetic, approachable style and a commitment to getting results while enjoying the journey.
A proactive, can-do attitude and calm, practical problem-solving approach. Comfortable working with ambiguity and using initiative
Confidence using Microsoft Office and digital systems. Strong PowerPoint skills to support high-quality ELT presentations
