Operations Support Specialist

This is an in-office position conveniently located in Overland Park just off of 435 & Quivira.
Position Overview
The Operations Support Specialist plays a key role in ensuring the accuracy, efficiency, and timeliness of all outbound orders and related operations. This position oversees order processing, inventory alignment, invoice posting, and reporting. The ideal candidate will be highly organized, detail-oriented, and comfortable collaborating across departments, serving as a vital link between internal teams, 3PL partners, and customers.
Key responsibilities
- Process and manage all outbound orders, ensuring accuracy and timely fulfillment
- Review and maintain current inventory for the online shop
- Process purchase orders from eCommerce partners, distributors, and direct retailers
- Partner with 3PL providers to ensure order accuracy and shipment tracking
- Post customer invoices
- Compile and distribute monthly sales, fill rate, and order performance reports
- Support inbound container tracking and related logistics
- Handle replacements, refunds, and rerouting requests from Consumer Care
- Submit weekly order and shipment reports
- Generate reports for small parcel and LTL shipments
- Reconcile inventory between internal systems (Abel) and 3PL databases
- Investigate and resolve shipment discrepancies
- File and monitor claims for damaged or lost goods
- Track customer shipments, delivery status, and payment timelines
- Serve as the primary point of contact for warehouse coordination
- Collaborate with cross-functional teams to support new initiatives and process improvements
- Assist the Operations team with additional projects as needed
Qualifications, Skills, and Requirements
- Bachelor’s degree in Business or a related field (preferred)
- 1–3 years of experience in data entry or bookkeeping, preferably within an operations or logistics environment
- Proficient in Microsoft Office, particularly Excel and PowerPoint
- High comfort level with software systems and technology platforms
- Exceptional organizational and multitasking skills with the ability to manage competing priorities
- Strong analytical and problem-solving abilities; capable of turning data insights into actionable improvements
- Positive attitude, strong work ethic, and ability to perform under pressure in a fast-paced environment
- Quick learner with an analytical mindset and the ability to handle complex situations effectively
- Flexible and adaptable to changing conditions while maintaining a high level of integrity
- Self-motivated, collaborative, and eager to contribute to team success
